After completing a support intervention, Iperius One allows you to use the information recorded in the ticket to calculate the cost of the activity, generate a summary document, and export billing data. In this tutorial, we’ll see how to select a closed ticket, check the customer, duration, and rate, generate the invoice, and export the data in PDF or XLSX format.
In short: go to Billing > Invoices , select Generate Invoice > Select Ticket or Select Date Range , choose the customer and one or more unbilled tickets or the date range. Add a reference and notes, generate the document, and check the duration, rate, and amount. The summary can then be exported to PDF or XLSX format .
Licensing note: This procedure applies to tickets created using the Iperius Remote Pro ticketing feature . Before billing, the ticket must be correctly associated with a customer and the related support sessions.
Part 1: Creating Ticket Invoicing
Before generating the invoice, open Ticketing > Tickets and verify that the incident is complete. Make sure the ticket is associated with the correct customer and that all support sessions are present.
By opening the ticket details, you can check the title, description, customer, device, operator, notes, number of sessions, and overall duration of the intervention.
Preliminary check: Before invoicing, make sure the ticket is closed, the operator’s report is complete, and all sessions held for the customer have been linked to the ticket.
Access the billing section
Log in to the Iperius One console and select Billing > Invoices in the side menu.
The Invoices page displays the data already generated with date, customer, hourly rate, duration, amount, notes, reference and billing status.
The Invoices page centralizes the generated invoices and allows you to control the customer, rate, duration, amount and status.
Select the generation method
Click the Generate Invoice button in the top right. Two options are available in the menu:
- Select Ticket: Allows you to manually select one or more tickets that have not yet been invoiced.
- Select date range: allows you to generate the summary using a time range.
To invoice a specific intervention, select Select ticket .
Select and verify the customer
In the Generate Invoice from Tickets window , open the Customers menu and select the relevant customer.
The customer selection determines which unbilled tickets are shown in the next step.
Carefully check the customer’s name. Billing information, such as company name, VAT number, address, and certified email address (if applicable), is displayed in the summary document.
Customer information: If the company name, address, or tax information is incorrect, stop the process and update the customer information first. Avoid generating the document with incomplete information or information referring to another company.
Select the ticket to be invoiced
After selecting the customer, Iperius One displays the Unbilled Tickets section , containing closed tickets that have not yet been included in an invoice.
Select the box next to the desired ticket. Check the ID, title, and closing date to avoid including the wrong incident.
The Unbilled Tickets section displays closed tickets available for billing.
If multiple incidents from the same customer need to be invoiced, you can select multiple tickets from the list before clicking Next .
Check the duration of the intervention
Billable time is calculated using the support sessions linked to the ticket. The summary shows the affected computer, the start time, end time, and duration of each session.
Compare the displayed time with the ticket information and the operator’s report. If a session is missing or not related to the intervention, correct the ticket before proceeding.
Check the hourly rate
In the document the Unit Price value is shown , while on the Invoices page the same information appears in the Hourly Price column .
In the procedure shown, the generation wizard does not provide a field for directly editing the rate. The price must therefore be verified in the customer’s billing settings before generating the document.
Best practice: Define and monitor hourly rates during initial customer setup. This way, each ticket will be charged at a rate consistent with the support contract.
There is no section in the procedure screens dedicated to adding separate lines for materials, travel, licenses, or other additional costs.
When additional services are planned, you can indicate them in the Notes field and complete them later in the management or accounting software used by the company.
Additional costs: Notes do not automatically adjust
the amount calculated based on duration and hourly rate. Any
additional materials, expenses, or services must be added and verified in the
subsequent administrative process.
Enter the reference and notes
After selecting the tickets, click Next . In the Additional Information step , you can fill in:
- Invoice reference: internal code, proforma reference, order number, or other administrative identifier.
- Notes: additional information about the intervention, the contract, the services performed, or the costs to be completed externally.
The reference and notes are optional, but they facilitate the management and subsequent identification of the document.
Check the summary and total amount
Before confirming, check the generated summary. The document shows:
- document number and date;
- company issuing the summary;
- recipient client;
- tickets included;
- linked sessions;
- overall duration;
- unit price;
- subtotal and total amount.
The amount is calculated using the recorded duration and the hourly rate associated with the customer. Verify that the total corresponds to the agreed-upon terms.
Create ticket billing
Click Generate . Iperius One creates the proforma invoice and displays a confirmation notification.
After generation, the document displays the customer, ticket, sessions, rate, and total amount.
The ticket is then recorded on the Invoices page with its reference and with the updated billing status.
Proforma invoice: This is a summary document used to present amounts and activities performed. It does not replace the tax invoice, which must be issued using the tools and according to the administrative procedures established by the company.
Part 2: Consultation and export
Access the billing list
Return to the Billing > Invoices page . Each line corresponds to a generated invoice and displays the key information needed for administrative control.

Filter data by customer, status, or period
At the top of the page there are several filters available:
- Customers: Limit results to a specific customer.
- Billing Status: Filter rows based on billing status.
- From and to: define the time interval to analyze.
After setting your criteria, click Filter . The table updates to show only matching data.
Before exporting: always apply the necessary filters. This way, the file will contain only the customer, period, or status you want to transfer to the management system.
View the details of invoiced tickets
Use the action menu to the right of the affected row to open the document details. The window allows you to double-check:
- customer and administrative data;

The document can be exported to PDF for consultation or to XLSX for data processing.

| PDF |
To archive, print, share or send the summary to the client or administration. |
| XLSX |
To process data in a spreadsheet or import it into compatible management or accounting software. |
Download the file
Click the desired format. The browser downloads the file to the folder you configured for downloads.
Once finished, open the document and verify that the customer, reference, ticket, sessions, duration, rate, and amount are present and correct.
Use the file in a management or accounting software
The exported file can be used as a basis for the company’s administrative process. In particular, the XLSX format allows for easier data organization and processing.
Before importing into the management system, check:
- correspondence of customer data;
- date, time and currency format;
- fee and amount of the intervention;
- any additional costs to be included;
- presence of the administrative reference;
- import rules required by the software.
Before importing: keep a copy of the original exported file. If you need to change columns, amounts, or formats, work on a copy to keep the summary generated by Iperius One available.
Conclusion
The Billing section of Iperius One allows you to transform the information recorded during support into a clear and traceable administrative summary. Customer, ticket, sessions, duration, fee, and amount are consolidated into a single document.
Thanks to filters and PDF or XLSX export, the data can be archived, shared, or used as a basis for invoicing in the company’s management or accounting software. The generated document remains a proforma invoice and must therefore be completed according to
applicable tax procedures.
